How Greymill works, in nine steps

  1. 1

Tell Greymill about your business, once

Four quick questions when you sign up, about two minutes. It is the only time you explain your business.

Your trade, your team, what to fix first and where people find you. Your answers become the business profile every specialist reads before answering, and the first entries on the What Greymill knows page, where you see everything Greymill has learned. Greymill also loads your trade’s rules and rates, so even the first answer fits your business. Change any of it in Settings when the business changes.

  2. 2

    Connect what you use

Your books, your inbox and your website. Greymill reads them and changes nothing unless you approve it.

Xero or QuickBooks, Outlook and Google Search, each in a couple of clicks; Gmail is coming soon. Greymill reads them, changes your books only when you press Approve, and never makes a payment. An email goes only when you press Send.

  3. 3

    Ask in your own words

ALEX, Ask Anything, gets it to the right specialist. A real answer in seconds, and what it would have cost to pay someone for it.

No forms and no booking. Type the question the way it is in your head. It reaches the specialist who owns that part of the business, and the answer comes back in seconds, with the reasoning shown.

  4. 4

    Specialists team up

A question that spans two areas is split between them. Type a specialist’s name and they join the conversation, already up to speed.

A late invoice is a cash problem, a letter to write and a decision to make, all at once. The specialist who takes it hands each part to the one who should do it, and you see who did what.

  5. 5

    Get the work itself

Emails, letters, plans and spreadsheets, drafted for you to check. An email goes only when you press Send.

Contracts, policies, plans and spreadsheet models included. Read it, change what you like and use it. Nothing leaves without you.

  6. 6

    Greymill remembers

Tell one specialist and they all know. See, edit or delete anything Greymill remembers.

Tell ELLA about a new supplier on Monday and MAYA has it in your cash flow on Tuesday. The What Greymill knows page shows every fact the team uses and where it came from, and you can add, change or delete any of it.

  7. 7

    Tasks suggested every hour

Each specialist’s page in the app suggests six tasks for your business, refreshed every hour. Tap one and it starts.

They come from what the team knows: your books, your deadlines, your industry and what you have asked before, and in the UK the Companies House register. The top three use facts from your own business, and each says where its facts came from.

  8. 8

    Your overnight brief

ALEX writes it overnight: the next deadline, the cash to watch and three tasks for today. By email at 7am, Mondays and Fridays.

It is in the app every morning too. It also lists what came into your inbox and your books since the last one, and anything still open from before. Tax deadlines, filing dates and renewals for your business and your trade are raised before they are due, not found out from the fine. The email can be turned off in Settings; the brief stays in the app.

  9. 9

    See what Greymill saved

Every answer is valued at what you would pay someone else to do it. The total is in the app, and in your inbox every Monday.

Each piece of work is valued at what that kind of work costs to pay for where you are, by a published method that counts low on purpose. The running total sits in the app, and the Monday savings email at 9am tells you the week.
