What Greymill is and who makes it

What is Greymill?

Greymill is AI for small businesses: 16 AI specialists who know your industry and share one memory of your business, so you only explain things once. You ask in your own words, and Ask Anything passes each question to the specialist who owns that part of the business. They draft emails, letters, plans and spreadsheets for you to check, for owner-run businesses in the UK and the US.

Who makes Greymill?

Greymill Limited, a company registered in England and Wales under company number 17144930, makes Greymill. It is built and run by its founder, Henry. You can reach the company at support@greymill.ai, and security reports go to the same address with "Security" in the subject line.

How is Greymill different from a general AI chatbot?

A general chatbot has never seen your business; Greymill has. Once you connect Xero or QuickBooks, Outlook and Google Search, it reads them, so you never type your figures in. It is briefed on more than 40 industries, written separately for the UK and the US, and its 16 specialists share one memory, so you never brief anyone twice.

Price, plans and the free trial

How much does Greymill cost?

From £100 or $130 a month, before tax. As of Oct 2026, Starter (4 specialists) is £100, $130 or €120 a month; Growth (10 specialists) is £175, $230 or €210; Scale (all 16) is £250, $350 or €300. UK prices are plus VAT and US prices plus tax, added at checkout. Enterprise, for teams of 50 or more, has custom pricing.

Is there a free trial?

Yes. Every plan starts with a 7-day free trial on full Scale access, so you get all 16 specialists. No card is needed to start, and there is nothing to cancel: if you do not choose a plan, the trial simply ends and you pay nothing.

What happens when the Greymill free trial ends?

If you do nothing, it simply ends and you are not charged. You pay only if you choose a plan, and no card is needed to start the trial. It runs on the Scale plan so you see everything first. Your account data is kept for 30 days after the trial ends, then deleted unless you subscribe.

Is Greymill cheaper if I pay yearly?

Yes. Annual billing is 10 times the monthly price, so you get 2 months free. As of Oct 2026, a year before tax costs: Starter £1,000, $1,300 or €1,200; Growth £1,750, $2,300 or €2,100; Scale £2,500, $3,500 or €3,000. UK prices are plus VAT and US prices plus tax. Annual plans are refundable in line with the refund policy.

Do Greymill's prices include VAT or sales tax?

No. Prices are shown before tax. In the UK, VAT is added at checkout; in the US, sales tax is added at checkout where it applies. FastSpring, which sells Greymill subscriptions as Merchant of Record, works out the tax for where you are, and the total shown at checkout is the amount you pay.

What Greymill does day to day

Can Greymill chase unpaid invoices?

Yes. With Xero or QuickBooks connected, Greymill lists every invoice by age, shows who owes what and drafts the chase emails in your tone, waiting for you to send. A late invoice can be shared out: for example, Daily Operations sets out next steps, Writing drafts the chase and Cash & Profit checks the cash. Nothing is sent until you press Send.

Can Greymill write quotes and follow up enquiries?

Yes. Sales & Quotes covers who to approach, quotes, follow-ups and winning the work, from following up a quote that went quiet to answering a client who says you are too expensive. Cash & Profit checks that your prices cover your costs. With Outlook connected, each incoming email is sorted to the right specialist and a reply is drafted for you to send.

Does Greymill remind me about deadlines and renewals?

Yes. Tax deadlines, filing dates and renewals for your business and your trade are raised before they are due, not found out from the fine. They are in your overnight brief, which lists the next deadline, the cash to watch and three tasks for today, in the app every morning and by email at 7am on Mondays and Fridays. Rules & Licensing tracks the dates you must not miss.

Can Greymill help with tax and bookkeeping questions?

Yes. Tax & Bookkeeping covers tax returns, bookkeeping and what you can claim, such as what tax is due and when, which expenses you can claim and getting your books ready for year end. With Xero or QuickBooks connected it answers from your live figures, and changes your books only when you press Approve. Greymill files nothing unless you send it yourself, and where a matter needs a regulated professional to sign it off, it says so.

Can Greymill help with contracts, staff and marketing?

Yes. Contracts & Disputes checks a contract before you sign, flags the clauses that matter and drafts your reply, and writes NDAs and terms and conditions. Staff & HR covers hiring, contracts, pay, leave and handling problems properly, including job ads and interview scorecards. Marketing covers where to advertise, showing up on Google and social media, and a brand people remember.

The sixteen specialists and choosing a plan

What are the 16 Greymill specialists?

Greymill's 16 specialists are Ask Anything, Coaching, Strategy, Cash & Profit, Loans & Funding, Contracts & Disputes, Rules & Licensing, Sales & Quotes, Marketing, Writing, Daily Operations, Staff & HR, Big Projects, Technology, Data & Analytics and Tax & Bookkeeping. Each one owns part of your business. Ask Anything is your first stop and passes each question to the right specialist.

What is the difference between Starter, Growth and Scale?

The number of specialists, and how much deep work each plan carries. Starter has Ask Anything plus 3 specialists you choose, a few Advanced answers to try and 1 email inbox. Growth has Ask Anything plus 9, twice Starter's Advanced use and up to 2 inboxes. Scale has all 16, five times Starter's Advanced use and up to 7 inboxes. You can swap specialists any time.

Do I have to explain my business to each specialist?

No. You explain your business once, in four quick questions when you sign up, and every specialist reads that profile before answering. Tell one specialist something and they all know it. The What Greymill knows page shows every fact the team uses and where it came from, and you can add, change or delete any of it.

Is there a limit on how many questions I can ask?

No, not for quick answers: Express answers are unlimited on every plan. Standard and Advanced answers draw on allowances that reset on their own, and the Usage panel shows when. Standard's is generous on every plan: twice Starter's on Growth and three times on Scale. Advanced, the most thorough, is a few answers to try on Starter, twice that on Growth and five times on Scale. When an allowance is used, answers continue on a lighter engine until it resets.

Your data, privacy and security

Is Greymill safe to use with my business data?

Yes. Greymill is built for sensitive business material. Its primary database is in London, and customer data at rest stays in UK and EU jurisdictions. Every connection uses TLS 1.2 or higher, stored data and backups are encrypted with AES-256, and production access is limited to a few named operators behind multi-factor sign-in. Greymill Limited is registered with the UK Information Commission's Office.

Is my business data used to train AI?

No. Nothing you share with Greymill is used to train AI. Its AI provider is used through a business API that does not train models on what you send. Your conversations belong to your workspace and are not visible to other customers. There are no ads and no cut of your sales, just one monthly fee.

Where does Greymill store my data?

In the UK. Greymill's primary database is in London, customer data at rest stays in UK and EU jurisdictions, and analytics are processed in the EU. Where data goes to a provider in the US or another country, for example for AI processing or email, Greymill relies on Standard Contractual Clauses or the UK International Data Transfer Agreement, with encryption in transit and at rest.

Is Greymill SOC 2 certified?

Not yet. Greymill is working toward a SOC 2 Type II attestation and will publish it on its security page once it is issued. Its compute and storage providers run facilities certified to ISO/IEC 27001 and SOC 2 Type II, and Greymill Limited is registered with the UK Information Commission's Office and operates under the UK and EU GDPR.

Can Greymill send emails or change my books without me?

No. Greymill only changes your books when you press Approve and never makes a payment, and an email goes only when you press Send on it. The one thing it can add to your inbox, and only if you allow it, is an email you approved. Every email, letter and plan a specialist drafts waits for you to check it.

Can I delete what Greymill knows about my business?

Yes. You can see, edit or delete anything the team remembers, any time, and clearing all conversations erases every conversation and what the specialists remember. If you cancel, everything is kept for 30 days so you can come back; then your conversations, documents and what the team remembered are permanently deleted. You can ask support@greymill.ai to do it straight away; billing records are kept for six years because tax law requires it.

Connections: Xero, QuickBooks, Outlook, Google and Companies House

Does Greymill work with Xero?

Yes. Greymill connects to Xero on every plan, so Cash & Profit and Tax & Bookkeeping answer with your live cash, invoices and margins, and you never type your figures in. Greymill only changes your books when you press Approve and never makes a payment, and you can switch the connection off any time.

Does Greymill work with QuickBooks?

Yes. Greymill connects to QuickBooks on every plan, in the same way as Xero, so Cash & Profit and Tax & Bookkeeping answer with your live figures. Greymill only changes your books when you press Approve and never makes a payment, and you can switch the connection off any time.

Does Greymill work with Outlook?

Yes. Connect Outlook and every email is sorted to the right specialist, with a reply drafted for you to check. An email goes only when you press Send, and Greymill never deletes, moves or labels anything in your mailbox. Starter includes 1 inbox, Growth up to 2 and Scale up to 7.

Does Greymill work with Gmail?

Not yet: Gmail is coming soon. For email today, Greymill connects to Outlook, which sorts each email to the right specialist and drafts replies for you to send. Greymill also connects to Xero, QuickBooks, Google Search and, for UK companies, Companies House.

Does Greymill connect to Google Search and Companies House?

Yes. Google Search shows how people find your website and what they do there, read-only, so your specialists advise on your own figures. For UK companies, Greymill reads your accounts and confirmation statement dates from the official Companies House register, checks them again before every reminder and flags each filing deadline before it is due.

Countries and industries

Does Greymill work in the UK?

Yes. Greymill is made by a UK company, and the UK is one of the two countries it covers in the most depth. UK rules are written separately, with their own law, tax and hiring rules, and the UK half of its industry knowledge is over 350,000 words as of Oct 2026. In the UK, plans start at £100 a month plus VAT.

Does Greymill work in the US?

Yes. The US is covered in the most depth alongside the UK. US rules are written separately, with their own law, tax and hiring rules, and the US half of its industry knowledge is over 350,000 words as of Oct 2026. Greymill asks which state you operate in when you sign up. In the US, plans start at $130 a month plus tax.

Can I use Greymill outside the UK and US?

Yes. Greymill works anywhere, though the UK and the US are covered in the most depth. Prices show in your own currency, in pounds, dollars or euros (Starter is €120 a month as of Oct 2026), and checkout adds your local tax. Tell any specialist what you do and where, and the answer fits your business.

Which industries does Greymill cover?

More than 40, written separately for the UK and the US: 2.5 million words on their rules, rates and deadlines, as of Oct 2026. They run from construction, plumbing and heating, restaurants, salons, cleaning and property to accounting, online retail, dental practices, recruitment, software and transport. On Greymill's industry pages, a figure shows only when an official source backs it, with the month it was checked.

What can Greymill do for a plumbing business?

It prices the work, drafts the chasers and tracks your renewals. In the UK, its specialists price call-outs, draft invoice chasers and follow-ups, and track Gas Safe, ACS and landlord certificate dates. In the US, they build flat-rate prices, draft collection letters and follow-ups, and track license, bond and insurance renewals. Plumbing, heating and electrical is one of its 40+ industries.

Advisers, accuracy and the savings figure

Is Greymill an accountant?

No. Greymill is software and does not provide legal, tax, accounting or financial services. What it produces is software output from the information you give it, so it takes no instruction, owes no professional duty and files nothing unless you send it yourself. It gets the numbers modelled and the filing checklist ready, so you arrive at your accountant with the work done and the questions sharp.

Does Greymill replace my solicitor or lawyer?

No. Greymill is software, not a law firm, and using it creates no solicitor-client or other adviser-client relationship. It reads the contract and drafts the letter, and where a matter needs a regulated professional to sign it off, it says so and tells you exactly what to take to them, so you arrive with the work done and the questions sharp.

Can I rely on Greymill's answers?

Use them, but check them first. Greymill's answers are general information and generated documents, not regulated professional advice, and every output is yours to review before you act on it. Its industry knowledge is researched for each trade, and a figure on its industry pages shows only when an official source backs it. For decisions with legal or financial consequences, take advice from a qualified adviser.

How does Greymill calculate the savings figure?

It multiplies two numbers: how long the work would have taken you, from 2 minutes for a one-line answer up to 22 for a full document and never more, by what that kind of work typically costs to buy in where you are, at Greymill's own benchmarks as of Oct 2026. It is an estimate that counts low on purpose, so the figure should sit below what the work would really have cost you.

Teams, partners, referrals and cancelling

Can I cancel any time?

Yes. You cancel from your account settings in two clicks, at any time, with no lock-ins and no minimum term. Cancelling takes effect at the end of the period you have paid for, and you keep full access until then. During the free trial there is nothing to cancel: if you do not choose a plan, it simply ends.

Can I get a refund?

Yes, in some cases. If you subscribe for the first time, you can ask for a full refund of your first paid month within 14 days of that first charge, once per customer, by emailing support@greymill.ai. Unused parts of a billing period are not refunded, but a confirmed billing error reported within 30 days is refunded in full. Your statutory consumer rights still apply.

Can my team use Greymill?

Yes. You can bring colleagues into one workspace, each with their own sign-in, on any plan: in the UK, from £75 per month each plus VAT. You request a team account in Settings. For teams of 50 or more, Enterprise is a custom engagement with custom pricing, a named contact and tailored onboarding, with seats, SSO and audit logs scoped with you.

Does Greymill have a partner programme?

Yes. It is for franchise head offices, trade associations and business networks, coaches and consultants, and IT, web and marketing agencies. A partner is paid 30% of each client's monthly plan price, once, in cash, 60 days after the client's first payment, by bank transfer. Nothing is earned on a monthly client who cancels, or any client refunded, before then. It is free to join, with approval within 24 hours.

Is there a Greymill refer-a-friend offer?

Yes, for customers on a paid plan. Share your link from Refer a friend in the app: your friend gets 40% off their first month, and when they make their first payment you get bill credit worth 40% of your own monthly plan. Credits add up and come off your next bills automatically. The credit is not cash and cannot be refunded.
